Privacy Policy
Last updated 16 September 2026
PaintBook is a record of the finishes and materials used in a property. This policy explains what the app collects, why it needs it, where it is stored and how to get rid of it.
Who we are
PaintBook (“we”, “us”) provides the PaintBook mobile application and this website. For any privacy question, contact us through the support page.
What we collect
| Data | Why |
|---|---|
| Email address and an authentication identifier | To create your account so your records survive a reinstall or a new phone. Passwords are handled by Firebase Authentication and are never visible to us. |
| The records you create — properties, addresses or labels, rooms, finish records, product details, notes, and optional client contact details | This is the content of the app. It is stored so you can retrieve it later and export it. |
| Photos you attach — product labels, finished areas, receipts | Stored against the finish record you attached them to. |
| Subscription status — the plan, its state and expiry, and a store transaction identifier | To confirm with Google Play that a subscription is genuine and to unlock Pro features on your account. |
| Anonymous usage and crash data | To understand which features are used and to fix crashes. |
What we deliberately do not collect
- We do not collect your location. Properties have an address field you type yourself; the app never asks the device where you are.
- We do not access your photo library beyond the images you explicitly choose.
- We do not use the camera outside the scanning and photo screens.
- We do not sell your data, and we do not share it with advertisers.
- We do not use your content to train any AI model.
Analytics and crash reporting
PaintBook uses Firebase Analytics and Firebase Crashlytics. These receive category information only — for example that a finish of type “paint” was saved, or that a search returned four results.
They never receive your address, property or client names, email address, phone numbers, notes, scanned text, receipt contents, photos or photo URLs. Search terms are not sent; only the number of results is.
Smart Scan
When you photograph a product label, the text is read on your device using Google ML Kit. The photograph itself is never uploaded for scanning.
If the on-device parser cannot resolve the label, the extracted text — not the image — may be sent to our server and to an AI provider to be turned into structured fields. Extracted text is used for that request only and is not retained after your record is saved.
This AI step is currently disabled. If we enable it, this policy will be updated to name the provider before it is switched on.
Where your data is stored
PaintBook uses Google Firebase. Your records, files and account are stored on
Google Cloud infrastructure in the United States (Firestore
multi-region nam5; Cloud Storage in US-EAST1).
If you are in the United Kingdom or the European Economic Area, this means your data is transferred outside your region. Google provides Standard Contractual Clauses for these transfers.
Who else processes your data
- Google Firebase — authentication, database, file storage, analytics, crash reporting and server functions.
- Google Play — payment processing for subscriptions. We never see your payment details; we receive only the purchase token needed to verify the subscription.
How long we keep it
Your records are kept until you delete them or delete your account. Deleting your account removes your properties, rooms, finish records, attachment metadata and stored files. Crash reports and aggregated analytics are retained by Google under their own retention periods.
Your rights
You can access and correct everything in the app directly. With PaintBook Pro you can also export any property as a Home Finish Passport PDF. You can delete individual records, or your entire account and all its data, from Settings → Delete Account & Data — see the account deletion page.
On any plan, including Free, you can ask us for a copy of your data through the support page.
If you are in the UK or EEA you also have rights of access, rectification, erasure, restriction, portability and objection. Contact us through the support page to exercise them, and you may complain to your local data protection authority.
Children
PaintBook is not directed at children under 13 and we do not knowingly collect their data.
Changes
If this policy changes materially we will update the date at the top and, where the change is significant, tell you in the app.
